Who are we looking for?
We are looking for an Executive/Team Assistant to manage our Managing Director’s diary and helping out the local team (Sydney and Melbourne) in general.
What will you be doing?
Front of House
•Provide a warm welcome to all office users – being that all-important ‘face of Q5’ to visitors
•Managing post/deliveries into and out of the firm
•Providing front of house support at all Q5 external events when required
Responsible for the MD’s diary management
•Responsible for all internal diary management, liaising with global offices to ensure meetings are scheduled and confirmed
•Organising appropriate meeting spaces for external meetings
•Arrange travel for meetings and as well as team travel for internal Q5 events
Meetings, workshops and events
•Provide event support to the MD, Business Development Manager and HR Manager. Events include both internal and external and will be onsite and offsite. There will be an opportunity to take ownership of some of these events
•Ensuring where required, events are successful; helping to greet guests, ensuring catering is timely throughout the evening, providing ad-hoc support as required
Facilities & office environment
•Build a strong relationship with our office provider management team
•Ensuring all our facilities (office space, equipment in rooms, IT equipment etc) are of a high standard and working efficiently
•Being proactive, ensuring meeting rooms are ready to go and are fully stocked with the required equipment
•Ensuring office equipment and items, e.g. stationery, are always well-stocked.
•Manage the health and safety requirements in the office. Ensuring the safety and security of Q5 employees is paramount at all times, including maintaining building access and air conditioning
•Ensure we always work to improve our Green Credentials where possible
IT/AV support
•With support and training from the UK IT Manager, providing simple ‘first line’ IT support e.g. printing queries, Dropbox queries
•Helping office users with any Information Technology or AV equipment queries
Finance administration
Finance Administration
•Management of MD expenses
•Finance & invoicing managed through the UK
General business support and administration
•Booking meeting rooms, couriers, restaurants, and travel arrangements
•Manage overseas visitors & secondees to Australia, responsible for arranging flights and accommodation
•Managing any online bookings that require credit card payment
•Basic audio, video and photo editing (with training)
•Ensuring there is high-quality support for those working out of the office (not just those in the office), with good accessibility to all office services remotely
•Ensuring that all support and process manuals are reviewed and updated regularly
•Maintaining a good working relationship with our suppliers/vendors, making sure we are receiving a good quality service and achieving value for money
•Prepare all necessary equipment and carry out relevant administrative tasks for all new joiners to the firm
Contributing to a great working environment at Q5
•Recognising the important role that the Team Assistant has in making Q5 a great place to work. Including but not limited to, celebrating birthdays, weddings, new additions to the family and house moves
•Being interested in people, their work and the wider firm
•Interested and enthusiastic in getting involved with Q5’s social events and activities
•Building relationships with both Partners, Consultants and colleagues in the Office team, globally
•Part of office management and engagement group
